How to Rename Many PDF Files at Once

Scanners and downloads produce names like scan_0001.pdf or document (7).pdf. Renaming dozens of files by hand is slow and error-prone. PDFMasala's Batch Rename gives many PDFs new names at once, either with a few simple choices or from an Excel list.

Simple rename, step by step

Open Batch Rename and add your PDFs. Use Sort A–Z to put them in name order (2 comes before 10).
Name: type a word in Start with (for example Invoice) and choose whether to keep the current file name.
Number: add a counting number such as 1, 2, 3 or 001, 002, 003, choose where it starts and where it goes.
Date: add today's date or a date you pick from the calendar, at the start or the end.
Style: choose what goes between the parts (space, dash or underscore) and the capital letters.
The Example box shows your real files with their new names as you choose.

For example: Start with Invoice, file name left out, number 001, dash between gives Invoice-001.pdf, Invoice-002.pdf and so on.

Rename from an Excel list

Add your PDFs and click Get Excel list of these PDFs. A spreadsheet downloads with the current names in column A.
Type the new names in column B and save.
Click Load Excel or CSV list and choose the file.
Check the Status column: Ready means the file gets its new name; other messages explain what needs a look.

Saving the renamed files

A web page cannot rename files where they sit on your disk, so renamed copies are saved: as one ZIP file, or, in Chrome and Edge, straight into a folder you choose. Your original files are not changed. You can also type any name directly in the list.

A number such as (2) is added so no file is overwritten.
